Essential Duties:
Facility Management
- Oversee the overall maintenance and cleanliness of the building(s) and facilities.
- Coordinate and manage all utility and maintenance staff, related third-party staff, security and safety staff, etc.
- Plan, coordinate, and schedule routine inspections and repairs.
- Prepare, manage, and serve/administer contracts with external service providers for maintenance and cleaning services.
- Optimize the use of available space within the building.
- Strategize and coordinate office relocations and space allocation as needed.
- Ensure compliance with zoning, building codes, and other related local and national regulations and laws.
- Monitor and manage utility services (electricity, water, HVAC, etc.).
- Implement energy-efficient practices to reduce operational costs.
- Maintain accurate records of maintenance activities, inspections, and incidents.
- Prepare regular reports for management.
- Document and archive important building-related information.
- Perform all other related management and administration duties, responsibilities, and activities not mentioned above.
Security and Safety, Compliance, and Emergency Response
- Implement and enforce security protocols to ensure the safety of occupants and assets.
- Collaborate with security personnel and monitor surveillance systems.
- Plan, organize, and conduct regular safety drills and training for building occupants.
- Collaborate with the Safety Officer/s, Pollution Officer/s, and other regulatory officers required by law.
- Processing and renewal of all regulatory requirements necessary for operations and maintenance of all buildings and facilities
- Ensure compliance with local, national, and international standards and regulations.
- Stay informed about building codes and safety standards.
- Implement and enforce policies related to building use and maintenance.
- Develop and implement emergency response plans.
- Coordinate with emergency services and first responders as needed.
Tenant Relations, Financial and General Management
- Serve as a point of contact for building occupants.
- Address tenant concerns and requests.
- Facilitate communication between tenants and management.
- Develop and manage the facility budget.
- Monitor expenses and identify cost-saving opportunities.
- Support in the preparation of financial reports and forecasts.
- Perform all other related tasks and activities not mentioned above that may be given from time to time.
Minimum Qualifications:
- Bachelor’s Degree in Facilities Management, Electrical Engineering, Business Administration, or a related field.
- Relevant experience of at least three years, particularly in facility or property management.
- Knowledge of building systems, maintenance, and safety protocols.
- Strong communication and interpersonal skills.
- Ability to multitask and prioritize responsibilities.
